Kanban board for CRM system
We are currently working on developing a CRM system, which helps our clients find experts to get expert consultations. Our Saas product allows the client to call with an expert, get the conversation record, and provide a transcription of the call. I work with a great team of devs, QAs, Product owners, and Co-founders of the company. And my role is UX/UI designer.

Discovery phase
Our team leaders are struggling to manage their projects on a real-time basis. At the kick-off meeting with stakeholders and managers, we decided to change the workflow of our associates. We have identified the core problems: - Unnecessary mental load, manual effort, and time waste for team leaders to manage their team's efforts and make sure projects/angles get done; - Time wasted in meetings or chats to clarify priorities for everyone on the team; - Lack of clarity for team members and their lead on their workload and whether they have space to take on more work; - Team leads and team members could benefit from understanding their current workflow and velocity better. The business gives us the task of providing teams with a new way to track their work in progress directly within the platform.

User Interviews
The next step was to conduct several interviews with team leaders and associates to understand what specific problems they faced. How are they solving the problem now? Why do they need to change the process of doing tasks? How it will help the business and get additional requirements. We have chosen User Interviews as an easy and quick way to understand how users feel, how they think, and what they think should help them. We also had the opportunity to observe how they hold meetings, how they distribute tasks, which is important to consider based on the role in the team. My colleague and I interviewed eight team members and got some necessary insights: - You always need to use multiple services to structure your work; - Excel is used to distribute tasks; - The team does not see who is responsible for which project; - Team leaders are not always aware of the progress of their associates; - Tasks were prioritized for only a few projects, making it more complicated if the team had many projects.

Ideate phase
One of the methods that we use in our team is brainstorming. Here we tried to achieve a balance between user needs and business requirements. The product owner and I have generated quite a few hypotheses. The most successful of them and relatively low labor-intensive was the Kanban board. This feature assumed an easy way to assaying tasks, and team members manage tasks within the CPM system, filtering by teams and their members. Also, it was supposed to indicate who is working on which project visually.

Prototyping stage
As for me, sketching is the best way to add dynamics to design ideas. Important iterative step of the creating product from your thoughts to the digital interfaces So our foundation is a 4-column interface: - To-Do: here tasks come and must be distributed by team leaders within teams; - In progress: here you can see who is working on the task, the client, the project, the workstream, the last added experts; - Blocked: a column that shows blocked objects for some reason and which require close attention; - Done: here the team can monitor the completed tasks. It is important for team leaders who monitor the progress of their teams. And after creating the sketches, I showed the interactive prototypes to our associates.

User testing
The next step was to evaluate our feature's usability and decide whether the product is ready to be launched for real users. I use Quality Usability Testing best for potential user experience issues. The primary metrics were time spent, success rate, ease of task completion, and satisfaction.

Visual Design Draft
Main points: - I've created the UI style guide for our CRM in Figma, and all components for development were taken from there; - New functionality such as task assignment, selection of prioritization, display of prospects, and experts allowed the team to work more efficiently with tasks; - Tests show that more than 3/4 of respondents successfully passed the user tests; - This kanban board helps our business reduce time spent on task management and focus on calls

What about us? We were worried that our feature would not solve the problem and would not help our users manage tasks. But tests showed the opposite, and our hypotheses were confirmed. Post-release analysis After a while, after launching the feature, we asked for feedback from our team leads and associates. We collected the data and made edits and added some functionality.
